This Privacy Policy explains how Appointy collects, uses, shares and protects personal information when you use our Service. We aim to be transparent and to give you control over your data.
01What we collect
We collect three categories of information:
- Account information — name, email, business name, phone number, and login credentials.
- Service data — information you upload or generate while using the Service: clients, appointments, services, prices, conversations with the AI assistant, and notes.
- Technical data — IP address, browser, device type, operating system, and usage logs needed to operate, secure and improve the Service.
02How we use information
We use personal information to:
- Provide, maintain and secure the Service.
- Reply to your clients on your behalf via connected messengers.
- Send you transactional and operational emails (account, billing, security).
- Process payments and manage subscriptions.
- Investigate abuse, prevent fraud, and comply with legal obligations.
- Improve features, with telemetry stripped of personal identifiers where possible.
We do not sell your personal information, and we do not use customer-data conversations to train third-party AI models.
03Legal bases (GDPR)
If you are in the EU or UK, we rely on these legal bases:
- Contract — to provide the Service you signed up for.
- Legitimate interest — to operate, secure and improve the Service.
- Legal obligation — to comply with tax, accounting, and regulatory requirements.
- Consent — for optional features such as marketing emails (you can withdraw at any time).
04Sharing
We share personal information only with:
- Sub-processors who help us run the Service (cloud hosting, email delivery, analytics, payment processing). They are bound by data protection agreements.
- Connected platforms (Telegram, Instagram, WhatsApp) when you authorize the integration. Their use of the data is governed by their own policies.
- Authorities when required by law or to protect rights, safety and property.
05International transfers
Some of our sub-processors are located outside your country. When we transfer personal data internationally we use safeguards required by applicable law, such as the Standard Contractual Clauses approved by the European Commission.
06Data retention
We keep your account and Service data while your account is active. After you close your account we delete or anonymize it within 90 days, except where longer retention is required by law (for example, billing records).
You can export your data at any time from the dashboard or by writing to us.
07Your rights
Depending on your jurisdiction you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Delete your data (“right to be forgotten”).
- Restrict or object to certain processing.
- Receive a copy of your data in a portable format.
- Withdraw consent for processing that relies on consent.
- Lodge a complaint with your local data-protection authority.

08Security
We use industry-standard practices to protect your data: encryption in transit (TLS) and at rest, role-based access control, regular backups, and audit logging. No system is perfectly secure — please use a strong, unique password and notify us immediately if you suspect unauthorized access to your account.
09Cookies
We use a small number of cookies and similar technologies to keep you signed in, remember preferences (such as theme), and gather anonymous usage analytics. You can disable cookies in your browser, but parts of the Service may stop working as expected.
10Children
The Service is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us information, contact us and we will remove it.
11Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be announced in the Service or by email at least 14 days before they take effect. The current version is always reachable from the footer of our site.
